Account Clerk

The incumbent reports to the Associate Director of Financial Aid. Responsible for managing incoming calls, counseling students and family members, by phone, on detailed and general financial aid information, and providing general university information.

Austin Peay State University is a four-year public, doctoral-level university, with six colleges and four Chairs of Excellence. The University has an enrollment of over 10,000 students and is located in Clarksville, Tennessee, a community of an estimated 150,287 people located approximately 40 miles northwest of Nashville, TN.

Primary Duties and Responsibilities
  •  Maintain understanding of regulations governing financial aid, both state and federal. Maintain knowledge about enrollment management and university offices directly impacting enrollment and retention.
  • Serve as the primary telephone contact for Student Financial Aid, assisting students and families through the financial aid process.
  •  Document Management -Supervision of document imaging and student file management. This involves the supervision of student employees, training and quality control of financial aid documents scanned and indexed into our imaging system, Perceptive Content.
  • Management of incoming fax and mail documents, ensuring these are recorded in the Banner system, scanned and/or routed appropriately. Ensuring documents are appropriately handled and not misplaced, as the volume of incoming documents is extremely high, contain confidential information and are may be difficult for the student to obtain.
  • Responsible for collection, maintenance and dissemination of telephone and facsimile statistics. Provide direction to call center during months when outsourced. Serve as office liaison with university telephone services.
  • Maintain expert level knowledge of Ellucian Banner. This position must be quick in going through Banner forms and information to provide a quick and accurate response to our students and/or family members. Maintain excellent knowledge of functions performed by Student Account Services and other enrollment and university offices.
  • Other duties as assigned.

Physical Requirements
  • Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
Required Minimum Qualifications
  • Associate’s Degree or two years of University Study.
  • A minimum of one year of experience in a university financial aid office.
  • Knowledge of government rules, regulations, and guidelines and procedures related to financial aid.
  • A background check will be required of the successful applicant.
  • An official transcript (if applicable) and names, addresses and phone numbers of three (3) references will be required for the successful applicant.
